What a TR19 certificate must contain — full checklist

A TR19 certificate has one job: convince a loss adjuster or EHO that the kitchen extract system was demonstrably compliant on the date stated. To do that, it must contain specific, verifiable elements. Anything missing is a weak point.

Required elements

• Reference to the TR19 specification by edition (e.g. TR19 Grease, 2019).
• Cleaning company name, address and contact details, with a unique reference or job number.
• Client name and address of the kitchen cleaned.
• Date of cleaning — single calendar date or, for multi-night cleans, all dates.
• System schematic showing canopy, plenum, ductwork runs and extract fan — with access points marked.
• WFT (wet film thickness) readings at every access point — pre-clean and post-clean, in microns.
• Dated photographic evidence at every access point — pre-clean and post-clean, side-by-side.
• Engineer name, signature and qualifications (BESA training, NAADUK or equivalent).
• Recommended next clean date based on observed grease deposition rate and usage classification.
• Insurance reference — public liability cover details for the cleaning company.

Common omissions that cause claim disputes

Three patterns we see repeatedly when reviewing certificates from other providers:

1. Single composite "before" photo instead of one per access point. This makes it impossible to verify the whole system was cleaned, only that some part of it was.
2. WFT readings absent — replaced by a generic "system was cleaned to TR19 standard" statement. Modern insurer claims handling requires the actual measurement evidence.
3. No system schematic — the certificate names the kitchen but does not document what was actually inspected and cleaned. A claim against an uncleaned section then becomes a he-said-she-said.
